1. Who we are

Viking Analytics AB ("Viking Analytics", "we", "us", "our") is a Swedish company headquartered in Gothenburg, Sweden. We build MultiViz, an AI-powered vibration analysis and condition monitoring platform.

For all processing described in this policy, Viking Analytics AB acts as the data controller under the EU General Data Protection Regulation (GDPR).

2. What this policy covers

This Privacy Policy explains:

It does not cover websites we link to from ours (e.g. LinkedIn, GitHub, partner sites) — those services have their own privacy policies.

3. What personal data we collect

When you visit our website

  • Technical data: IP address, browser type, device type, referring URL, pages visited, time on site (collected via analytics tools, only with consent)
  • Cookie preferences: your choice stored locally on your device

When you fill in a form, request a demo, or download a guide

  • Name, email, company, job title, phone (if you provide it), and any information you include in the message field

When you use our MultiViz app (dashboard.multiviz.com)

  • Account credentials (username and password — passwords stored only as cryptographic hashes)
  • Activity logs related to your use of the app
  • Any data you upload, generated by your industrial sensors and processed within MultiViz

When you contact us

  • The contents of your message and any contact details you share

4. Why we collect it, and on what legal basis

Sending you marketing communications, newsletters — Consent (GDPR Art. 6(1)(a)), withdraw any time

Responding to a demo request or contact form — Legitimate interest (6(1)(f)) and pre-contract steps (6(1)(b))

Providing the MultiViz app to paying customers — Contract (6(1)(b))

Analytics on website usage (when you've allowed Analytics cookies) — Consent (6(1)(a))

Advertising measurement (when you've allowed Marketing cookies) — Consent (6(1)(a))

Security, fraud prevention, ensuring the site works — Legitimate interest (6(1)(f))

5. Who we share data with

We work with carefully selected service providers ("processors") who handle data on our behalf under written agreements. The most relevant:

  • HubSpot (United States, with EU data centre) — CRM, contact forms, marketing automation
  • Google: Analytics, Ads, Tag Manager (Ireland and United States) — Website analytics, advertising
  • Calendly (United States) — Meeting and demo scheduling
  • Cloudflare (United States and global edge) — Content delivery and security
  • Webflow (United States) — Website hosting
  • Auth0 (United States) — Authentication for dashboard.multiviz.com

We do not sell personal data and do not share it with third parties for their own marketing purposes.

We may disclose personal data to public authorities where required by law, court order, or to protect our legal rights.

6. International data transfers

Some of the providers above are based in the United States or transfer data outside the European Economic Area (EEA). For those transfers, we rely on:

  • Standard Contractual Clauses approved by the European Commission, and
  • The EU-US Data Privacy Framework for US providers certified under it

You can ask us for a copy of the safeguards we rely on for any specific transfer.

7. How long we keep your data

  • Demo / contact form submissions — Up to 24 months from your last interaction, then deleted or anonymised
  • Newsletter subscribers — Until you unsubscribe, then deleted within 30 days
  • Customer account data (app) — Duration of contract + 12 months (longer if required by law)
  • Accounting and invoicing records — 7 years (Swedish Bokföringslagen)
  • Website analytics — Up to 14 months (Google Analytics 4 default)
  • Cookie preferences — 6 months on your device, then we ask again

8. Your rights under GDPR

You have the following rights regarding your personal data. You can exercise any of these by emailing info@vikinganalytics.se — we'll respond within 30 days.

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate or incomplete information
  • Erasure ("right to be forgotten") — ask us to delete your data where there's no overriding reason to keep it
  • Restriction — ask us to pause processing while a dispute is resolved
  • Portability — receive your data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interest, including direct marketing
  • Withdraw consent — at any time, where processing is based on consent

We don't make automated decisions with legal or similarly significant effects about you.

9. How we keep your data secure

We use a combination of technical and organisational measures:

  • Encryption in transit (TLS 1.2+) and at rest for sensitive data
  • Role-based access controls and the principle of least privilege
  • Regular security reviews and dependency updates
  • Multi-factor authentication for internal systems
  • Monitoring and alerting on suspicious activity
  • Written data-processing agreements with all providers

No system is perfectly secure, so we also have an incident response process and will notify affected individuals and the supervisory authority within 72 hours of a serious breach, as required by GDPR.

10. Children's privacy

Our services are aimed at businesses and industrial users. They're not intended for children under 16. If you believe we've collected personal data from someone under 16, please contact us and we'll delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. Significant changes will be highlighted on this page or notified by other appropriate means. The "Last updated" date at the top shows the most recent change.
